Audience: Chapter Manager
Introduction
Only a Chapter Manager can add or edit an affiliation to a member's profile. Every chapter member can be affiliated with other chapters beyond their primary chapter. For each affiliation to a chapter, all positions and information will be maintained on an affiliation record that is connected to your main contact record.
A mentor may request the Chapter Manager of another chapter to be affiliated with their chapter at any time. This guide covers the steps on how to add your chapter as a new chapter affiliation to a mentor's profile and how to modify the chapter affiliation records.

Add a New Chapter Affiliation
1) From the Home Page, navigate to the volunteer’s profile by entering their name in the global search box and selecting their name from results in the dropdown.
2) Then, click the drop-down arrow and select New Affiliation.
3) Select your Chapter from the list. Only your chapter will be available in this field as you are adding a member from another chapter to be affiliated with your chapter. Also, check any Positions applicable. Select the Start Date. Lastly, click Next to save the changes.
4) After the affiliation is added successfully, it will show up under Organization Affiliations.
Change The Primary Chapter Affiliation
For snowbirds who may wish to change their primary chapter to one of their chapter affiliations, then the chapter manager can change the primary affiliation by following the steps below.
1) From the Home Page, navigate to the volunteer’s profile by entering their name in the global search box and selecting their name from results in the dropdown.
2) Click the affiliation record number (AF-XXXXXX) of the record you'll be editing.
3) Click the Edit Affiliation button.
4) Check the Set as Primary Affiliation box then hit Save.
5) The Affiliation record will now reflect the Primary Affiliation checked.
Note: Chapter members are only listed in the Volunteer Roster Report where they are primary affiliated with the chapter.
Edit A Chapter Affiliation
Only Chapter Managers from any of the chapters' affiliations listed in the volunteer's profile can modify the affiliation status by changing it to Current or Former (or vice-versa) and also add Positions.
1) From the Home Page, navigate to the volunteer’s profile by entering their name in the global search box and selecting their name from results in the dropdown.
2) From the contact record, you can view all chapter affiliations under Organization Affiliations.
3) Identify the chapter from the list to edit, then click the drop-down arrow and select Edit.
4) Then, edit Affiliation Status (current, former), Start Date, End Date, and Position held within that chapter. Click Save.
5) The affiliation record is updated immediately. When updating the Affiliation Status, the change will also immediately show up under Organization Affiliations.
When a Volunteer Moves to Another Chapter
When a volunteer moves to another chapter, they should reach out to the new chapter first to be added as a new affiliation. Volunteers do not need to fill out another Volunteer Application when moving to another chapter. When the Chapter Manager adds the new affiliation (Add a New Chapter Affiliation) then, they can set the originating chapter affiliation as Former and set the new chapter as Current and as Primary Chapter.
Note: The BIRT Report for Volunteer Roster will not show the change immediately as this report requires up to 24 hours to sync with the change in Engage.
Primary Contact record vs. Affiliation Contact Record
Each volunteer will have a contact record in the system with their information and classification. For each chapter a volunteer is affiliated with, there will be an Affiliation Record with the chapter information, position(s) held, start date, and end date.
