BIRT reports are an important way for you to monitor your performance within SCORE and obtain useful information. BIRT stands for Business Intelligence and Reporting Tools, and is an open-source system for creating reports within various types of data sources.
Go to your Engage home page and click on BIRT reports on the right.
There are different reports available based on system permissions.
Find the sections marked Clients, MRE’s & Sessions and Volunteers
Click on the report you want to access, for instance Individual Volunteer Performance. You will be asked to sign in to your SVO Google account. Then the report will appear in a new browser tab.
Date Range: You can select the fiscal year and month or month range at the top of the page. Selecting a date will reprocess the report in the same tab.
Drill Down: Any data in blue and underlined can be selected to drill down to its data.
Printing and Exporting Reports: At the top left of the BIRT report you will find a series of icons. These will permit you to print and export the report.
Printing Report: The second icon from the right is for printing. For best results choose PDF format and all pages.
Exporting Report: The third icon from the right is for exporting the entire report.
Click Export Format and choose how you want to open the report. Excel is recommended. Once you click OK, the report will download to your Downloads folder. It may or may not open automatically.
**NOTE** Fields starting with DEP are "deprecated fields" that are no longer being updated, past a certain date.
Tip: It is sometimes difficult to manipulate data in an exported report because the report is created using merged rows and cells. If you are adept in using Excel, you can delete un-necessary columns at the top and bottom, un-merge all the cells, and delete those columns and rows that are empty. Otherwise, export the data you want to use.
Exporting Data: The fourth icon from the right is for exporting selected data.
Select the columns you would like to see on your report. Use the right arrow to select them. They will show under Selected Columns.
When finished, click okay. Report is only available as .csv, which you can open in Excel and then save in Excel format.
Tip: Exporting data is useful when you want to work with a limited number of columns, such as keeping record of your clients’ names, phone numbers, and email addresses.
